What information we collect

When you enquire, request a price or arrange work, we collect the details you provide. These can include your name, email address, telephone number, postcode or property address, the surface and approximate area to be cleaned, your message, photographs you send us and correspondence about your enquiry or booking. Customer records can also include quotations, work arrangements, invoices and payment records.

Our contact form asks for your name, email, phone number, postcode and enquiry so that we can respond and understand the work. If you prefer, you can contact us directly to discuss what information is needed. Please avoid sending sensitive personal information that is not relevant to the job.

The website and its service providers also process technical information, such as your IP address, browser and device information, pages visited, referral information, cookie choices and interactions with forms or embedded content. Security and anti-spam tools process technical and submission information to help identify unwanted or malicious activity. We normally receive enquiry information directly from you; website usage information is collected through your browser and the services described below.

How and why we use your information

Enquiries, quotations and services. We use your details to answer questions, prepare quotations, discuss access and surface requirements, arrange work and communicate with you. Our lawful basis is taking steps at your request before entering a contract, or performing our contract with you. For general enquiries and business contacts, we also rely on our legitimate interest in responding to people who contact us and managing customer relationships.

Administration and legal obligations. We use relevant records for invoicing, accounting, tax and other legal duties. We rely on legal obligations where these apply, and our legitimate interests in administering the business and establishing, exercising or defending legal claims where appropriate.

Website operation and security. We use technical information to operate the website, troubleshoot problems and reduce spam, fraud and misuse. This supports our legitimate interests in providing a reliable and secure service.

Analytics and advertising. Google Analytics and Google advertising tags are used to understand website activity and measure responses to advertising, including enquiry conversions. These services can process online identifiers, device and usage information. Consent is required for non-essential tracking where applicable; essential website and security functions have a different purpose. See the cookies section below for controls and provider information.

Optional marketing. The marketing checkbox on our enquiry form is optional. Where you opt in to future sales and marketing communications, we rely on your consent for those communications. You do not have to agree to marketing to send an enquiry or use our services. You can withdraw consent at any time using the unsubscribe option in a message or by contacting us. Withdrawal does not affect processing already carried out lawfully. Messages needed to handle an enquiry or booking are separate from marketing.

Who can receive your information?

Relevant staff handling Power Clean enquiries and work within The Yorkshire Resin Company Ltd can access information needed for their role. Enquiries are stored through our website and sent to our YRC customer relationship management system so that the team can respond and manage quotations and customer records.

We use suppliers for website hosting and maintenance, email delivery, customer management, backups, security, analytics and advertising. They receive information needed to provide their services. Our website is hosted by Kinsta. Google and Trustpilot also process information through the services described below, under their own privacy terms where they act as independent controllers.

Information may also be provided to professional advisers, insurers, authorities or other parties where necessary to meet a legal obligation, obtain advice or deal with a dispute or legal claim. We limit disclosures to the purpose involved.

Cookies, analytics and embedded content

Cookies and similar technologies can support essential functions, remember preferences, measure visits and advertising responses, and enable third-party content. Essential cookies may be needed for security and site operation. Non-essential analytics and advertising technologies require consent where the law requires it; simply continuing to browse is not consent.

You can use any cookie preference controls displayed on the website and your browser settings to manage or delete cookies. Blocking cookies or third-party content can affect some features. Contact us if you need help with your preferences. Changing a browser setting does not necessarily remove information already received by a provider.

Google. The site uses Google Analytics and Google advertising tags. Some pages also embed Google Maps, and videos may use YouTube. When these services load or you interact with them, Google can receive technical and usage information and may use cookies or similar technologies. Read Google’s Privacy Policy and how Google uses information from sites that use its services. Google also provides advertising privacy controls.

Trustpilot. Our review widgets load content from Trustpilot. This can send information such as your IP address, browser details and widget interactions to Trustpilot. If you follow a link or leave a review, Trustpilot’s own terms and Privacy Policy apply.

Links to other websites are covered by those websites’ privacy notices once you visit them.

International processing

Some technology providers operate internationally, so information may be processed outside the UK. The protection and arrangements depend on the provider and service. Where we make a restricted international transfer, UK data protection law requires an appropriate basis, such as an adequacy regulation or approved contractual safeguards. Contact us for information about the safeguards relevant to your data; the provider notices linked above also explain their international processing.

How long information is kept

Retention depends on why the information is held. Enquiry and quotation records are kept for the period relevant to responding, following up and maintaining an appropriate record of the enquiry. Customer, work and invoice records may need to be kept longer to meet accounting and tax obligations or deal with complaints and potential legal claims. The relevant legal duties, the date and nature of the work, and any outstanding issue determine the period.

Marketing preferences are relevant while you remain subscribed. If you opt out, a limited suppression record may be retained to help ensure you are not contacted again. Technical and security records are retained according to their operational purpose and the applicable provider settings. Backups can retain copies until they are replaced through the backup cycle. You can ask us about the retention of a particular record using the contact details above.

Your data protection rights

Depending on the circumstances and lawful basis, you can request access to your personal information, correction of inaccurate information, deletion, restriction of processing, or transfer of information in a portable format. You can object to processing based on legitimate interests, and you have an absolute right to object to direct marketing. Where processing depends on consent, you can withdraw it.

Contact info@powercleanuk.com to make a request. We may need proportionate information to confirm your identity. These rights have legal conditions and exceptions; for example, some accounting records may need to be retained despite a deletion request.

The online calculator produces an indicative price from the details entered. You can contact the team to discuss it or request a quotation. It is not a decision about your legal rights or eligibility.

If you are unhappy with how we handle your information, please contact us so that we can investigate. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint or call 0303 123 1113.

Changes to this policy

We may update this policy when our services, website or data handling change. The date at the top shows when it was last updated.
